Frequently asked questions

Straight answers about the billing service, the health check, and the software.

Which practices do you bill for?
Independent practices with one to five providers: primary care, family medicine, internal medicine, urgent care, and mental or behavioral health. We focus on practices in smaller towns and rural areas that do not have a billing department.
What does the service cost?
About 5% of insurance collections. The rate is confirmed after a free billing health check. There is no long contract. Patient payments are not part of the percentage.
What is the free billing health check?
You share practice totals: monthly claims, charges, collections, denial rate and days in accounts receivable. We compare them with MedFlow targets and tell you where money is likely stuck. Do not send patient names or any patient information.
When do you see patient information?
Only after a service agreement and a business associate agreement are signed. The website forms are not that agreement. They ask for your name, the practice, and totals.
Do we have to change electronic health records?
No. We work from the schedule, the note, and the claim. The MedFlow software is what our team uses to code, submit, post payments and follow denials. Your chart stays where it is.
What do you need from the clinic each week?
Answers the payer will not take from us: a referral number, a new insurance card, a sentence the note is missing. Those requests show up as clinic tasks. Coding questions go back to the provider who saw the patient.
How do patients pay their share?
Statements go out after insurance adjudicates the claim. Patients can pay from a link. Card payments use Stripe when that account is connected. We do not statement a balance that is still open with the payer.
Is the software for sale?
MedFlow for billing companies is in early access. There is no public price. Practices that hire us for billing do not need to buy it. Billing companies can request access on the software page.
Where is the demo?
The sample practice is at medflowbilling.com/demo. It uses fictional patients stored in your browser. It is not the secure workspace and it is not HIPAA-compliant. Do not type real patient information into it.
How do we start?
Request a billing health check or a conversation from the contact page. If we are a fit, we send the service agreement and the business associate agreement. Onboarding is access to the schedule and the notes, a fee schedule, and payer enrollments. Then claims move, and you get a monthly report.
