For practices with 1–5 providers

Medical billing services for small practices

MedFlow bills insurance for independent primary care, urgent care, and mental health practices, including offices in smaller towns that do not have a billing department. About 5% of insurance collections. The rate is confirmed after a free health check.

Denials with no owner

A reason code comes back on the remittance and sits there. The claim ages past the filing limit while the front desk rooms the next patient.

Payments that take too long

Days in accounts receivable climb because nobody is working the claims that stopped moving. The deposit looks fine until you notice what never arrived.

No time to bill

The office manager is the biller, the scheduler and the person on the phone. Billing happens after hours, which means it does not happen.

What we do

One team follows the claim from the schedule to the statement. Each service has its own page if you want the detail.

How it works

  1. Step 1

    Billing health check

You share monthly totals only. No patient names. We compare denial rate, collections and days in A/R with MedFlow targets.

  2. Step 2

    Agreement and BAA

A service agreement states the rate. A business associate agreement is signed before we handle any patient information.

  3. Step 3

    Onboarding

Schedule, notes, fee schedule and payer enrollments. We do not ask you to replace your electronic health record.

  4. Step 4

    Monthly reports

Charges, insurance collections, denial rate, days in A/R, and the short list of items only the clinic can answer.

Specialties

  • primary care billing services

Family medicine and internal medicine are mostly office visits, a short list of procedures, and a long relationship with the same patients. The billing has to keep up with that without a billing department in the back.

  • urgent care billing services

Urgent care is volume. A clinic can see more patients in a weekend than a primary care office sees in a week. Billing has to keep the same pace, or the accounts receivable is already old on Monday.

  • mental health billing services

A behavioral health practice bills time, diagnosis, and often an authorization for the next block of sessions. The note has to support the code, and the claim has to carry the approval number.

The software behind the service

These screens are the MedFlow product with fictional sample patients. Nothing here is a real chart. Billing companies can ask for early access. Practices that hire us do not have to buy the software.

MedFlow dashboard with fictional sample claims, denial reasons and a claim pipeline
Dashboard: collections, denials and what is stuck.
MedFlow coding screen with fictional note and suggested ICD-10 and CPT codes
Coding: each code tied to a sentence in the note.

Questions practices ask first

Which practices do you bill for?
Independent practices with one to five providers: primary care, family medicine, internal medicine, urgent care, and mental or behavioral health. We focus on practices in smaller towns and rural areas that do not have a billing department.
What does the service cost?
About 5% of insurance collections. The rate is confirmed after a free billing health check. There is no long contract. Patient payments are not part of the percentage.
What is the free billing health check?
You share practice totals: monthly claims, charges, collections, denial rate and days in accounts receivable. We compare them with MedFlow targets and tell you where money is likely stuck. Do not send patient names or any patient information.
When do you see patient information?
Only after a service agreement and a business associate agreement are signed. The website forms are not that agreement. They ask for your name, the practice, and totals.
